Standard Fees & Terms for Tenants

Administration fees

An administration fee will be payable upon completion of application forms and is non-refundable. The fee of £250 inc VAT for the first applicant then £150 inc VAT per applicant thereafter will be payable before referencing can be started. If the landlord decides to cancel the let before the start of the tenancy, you will be entitled to a full refund. There will be an additional charge of £120 inc VAT if a guarantor is required to be referenced. The referencing fee is non-refundable in all situations including failing to move in within one calendar month of agreeing the Let (unless otherwise agreed in writing).

Check-in and check-out

Hunter Leahy will be instructed by the landlord as to what arrangements are to be made for the inventory and check-in. Unless agreed otherwise, the landlord will be responsible for the cost of the inventory and check-in and the tenant will be liable for the cost of the check-out (payable at the start of the tenancy).We advise you to make yourself available for the check-in and check-out.

With all tenancies, a fully qualified, independent Inventory Clerk will carry out a full inventory of the property including supporting photographs. There is a one off charge of 10% of one month’s rent (no VAT) which will be due on the day you start your tenancy.

Should you wish to terminate your tenancy before the end of the term and the landlord agrees that you can terminate early, you will be responsible for any re-letting costs usually payable by the landlord and any rent due for the unexpired portion of the tenancy or until a new tenant moves in (whichever is first), unless you are exercising a break clause which is contained in your tenancy agreement.

It is your obligation to obtain written consent from the landlord for any change in the identity of the tenants. Upon receipt of this consent Hunter Leahy will draw up a tenancy agreement for signature by all parties. An administration fee of £65 plus VAT will be charged for this service.

An administration fee of £25 plus VAT will be charged for each letter sent by Hunter Leahy regarding late or non-payment of rent or administration charges.

If Hunter Leahy are called out after working hours (9am-6pm) to a maintenance issue caused by a tenant or to resolve an issue not caused by the property or deemed a Landlord's responsibility (e.g to let a tenant in if they have locked themselves out), there will be a charge of £45 + V.A.T.

If any charges remain outstanding at the end of the tenancy, Hunter Leahy will deduct the amount due from the deposit.

Renewal of Tenancy

Please contact us in advance if you wish to extend your tenancy. If the tenancy is renewed, we will make a charge of £65 plus VAT to cover our administration.

Payment of rent

The first instalment of rent must be paid in cleared funds when you sign the tenancy agreement. Thereafter, rent is payable by standing order (unless agreed otherwise) to arrive on the due date as stated in the tenancy agreement. This means that the standing order must be set up so that the funds leave your account three days before the rent is due. The full rent must be paid by a single standing order, we are unable to accept multiple standing orders.


A deposit equivalent to one and a half month’s rent (unless otherwise agreed) must be paid in cleared funds when you sign the tenancy agreement and is held by the DPS (deposit protection service) for the duration of the tenancy in accordance with the terms of the tenancy agreement.

If you have been granted permission to keep a pet at the property, there will be an additional £200 added to the deposit amount (unless alternative amount specified by the Landlord).

The tenancy agreement entered into is between the landlord and the tenant and, therefore, the tenant cannot hold Hunter Leahy liable for any deductions made from the deposit which may fall into dispute.

If at the end of a tenancy, there are items/damage that need correcting/repairing and are deemed the tenants responsibility by the independent Inventory Clerk, Hunter Leahy reserve the right to charge £25 + VAT per contractor that we have to arrange to carry out works.


We will take up references based on the details that you have supplied to us. These references may be passed to our client so that they can make a decision on granting a tenancy.

You are responsible for any administration charges levied by your own bank in relation to obtaining a reference.

Before the tenancy can proceed you need to provide us with a photo ID in the form of a passport or EU driving licence.


Hunter Leahy work in partnership with Let Alliance who will provide you with a no obligation quote for tenant liability insurance upon completion of your reference application. Alternatively, you can provide Hunter Leahy with a copy of your current policy details prior to your move in.


You will be responsible for the payment of telephone, gas, water and electricity accounts at the property during your tenancy, as well as the council tax. It is your responsibility to notify the relevant companies and the local authority that you are moving into/out of the property. You are also responsible for ensuring that a valid television licence remains in place for the duration of the tenancy. Utility companies will also always require the occupant to provide access for any visit.

Anti-Money Laundering Regulations

Hunter Leahy is subject to the Money Laundering Regulations 2007. As a result we will need to ask you for suitable identification, and will be unable to proceed with any work on your behalf if we are unable to obtain this from you.


All charges levied by Hunter Leahy are subject to VAT at the prevailing rate of 20%.
